Why Freight Quotes Are Hard to Compare

Every freight forwarder formats their quote differently. One might bundle charges; another lists 15 separate line items. Unless you know what to look for, comparing quotes is like comparing apples to a fruit salad.

Anatomy of a Freight Quote

Origin Charges

How to Compare Quotes Fairly

Step 1: Get All-In Quotes

Ask every forwarder for the total door-to-door cost. This prevents hidden fees popping up later.

Step 2: Use the Same Basis

Ensure all quotes are for:

  • The same origin port
  • The same destination (your warehouse address)
  • The same container type or CBM volume
  • The same Incoterm
  • Including customs clearance

Step 3: Calculate Per-Unit Cost

Total freight cost ÷ Number of units = Freight cost per unit

This is the only number that matters for comparison. A quote that's $200 cheaper overall but has hidden surcharges may end up costing more per unit.

Step 4: Check Transit Time

The cheapest quote often means the slowest service. Consider:

  • Is the carrier direct or does the container tranship (transfer between vessels)?
  • What's the estimated transit time?
  • Does the forwarder have a track record of on-time delivery?

Common Freight Quote Tricks

"Subject to" clauses

Some quotes include phrases like "rates subject to change" or "subject to GRI." This means the price might increase before you ship.

Ask for: A validity period (usually 14–30 days) during which the quote is guaranteed.

Unbundled surcharges

A low base rate looks attractive until you add BAF, CAF, PSS, and other surcharges. Always compare total cost, not base rates.

Excluded charges

Check what's NOT included. Common exclusions:

  • Customs examination fees (if your goods are inspected)
  • Demurrage and detention charges
  • Port congestion surcharges
  • Insurance

Wait — Forwarder C looks suspiciously cheap. Check whether their "all-inclusive" quote excludes something (like VAT processing, port storage, or examination fees). If it's genuinely all-in, it's the best deal. If it has exclusions, the actual cost may be higher.

Negotiating Better Rates

  1. Get 3–5 quotes — always have alternatives
  2. Share competitor pricing — forwarders will often match or beat
  3. Commit to volume — regular shipments earn better rates
  4. Time it right — rates are lower outside peak season (Jan–Feb, Aug–Oct)
  5. Build a relationship — loyal customers get priority pricing and service
